How to write a sorry message
A good apology does four things: it names what you did, shows you understand the effect, avoids excuses, and says what happens next. Miss any one of them and it reads as damage control.
Work through the four parts below, then use the examples as a starting point rather than a script.
Sorry cards
If it matters enough to apologise for, it usually matters enough to write down.
The four parts, in order
- Name it plainly: "I'm sorry I missed your birthday." Shop this card
- Show the effect: "I know you'd been looking forward to it and I let you down."
- No excuse clause: cut anything after "but".
- Say what changes: "It's in my calendar now, and I'd like to take you out this month."
Worked examples
- I'm sorry I snapped at you on Friday. You didn't deserve it and I know it landed badly. I was tired, which explains it but doesn't excuse it. I'll take a breath next time before I answer.
- I'm sorry I forgot to reply about the weekend. You were left waiting on me and that's not fair. I've put a reminder on for Thursday so it doesn't happen again.
- I'm sorry for how I handled the meeting. I spoke over you and that wasn't right. I'd like to redo the section together before it goes out.
Phrases to avoid
- "I'm sorry you feel that way" - blames them for the feeling.
- "I'm sorry, but you also..." - turns an apology into an argument.
- "If I upset you" - suggests you are not sure you did.
- "I've already said sorry" - restarts the row.
- "I was just joking" - dismisses the effect.
How to write it so it lands
- Write it, wait ten minutes, then delete anything that starts with "but".
- Apologise for what you did, not for how they reacted.
- If you cannot promise the change, do not put it in writing.
